Background Information on the CSFP Client Intake Process

  1. A client registers for CSFP
  2. As part of the registration process they must “Certify” (i.e. sign to prove that their information is correct and that they are eligible) before they receive food
  3. They will then receive food 1/month through to the end of the recertification period in your state
  4. On the first of the following month after the recertification period is up, they must “recertify” (i.e. sign to prove that their information is STILL correct and that they are STILL eligible)
    • They will then receive food 1/month through to the end of the 6th month after recertification
  5. On the first of the following month after that recertification period is up, they must “recertify” again

If your organization is a CSFP site, you will notice an additional tab in your client intake process other than those mentioned on the How Do I Add a New Client? page. 


Users are not set up to have access to the CSFP tab by default. To make sure that you're tracking the necessary information for CSFP clients in that additional tab, do the following:

  • Go to Adminstration
  • Go to Users
  • Select the users(s) from the list by clicking on the orange ""Edit" icon in the right column
  • Scroll down to the section that says "Roles" and check off "CSFP Worker"

  • Click on the "Save"  button to save changes or "Cancel"  to discard the changes.

The CSFP tab can be found between Dietary Considerations and Services. Although your client may access a CSFP site, if your organization isn't specifically that CSFP site, you will not have access to view or edit this tab. 

On the CSFP tab number just above the client ID, a notification says "If this client is not a CSFP client, click on the "Services" tab to record a visit"

The CSFP tab does not have to be filled out if the client is not a CSFP client. 

If a client does not meet the eligibility requirements for age or income when landing on the CSFP tab, the fields on the CSFP tab will be greyed out.


CSFP ID: the client's CSFP ID number

Location: the agency/site the client will be picking up their designated CSFP food; only active CSFP agencies/sites are listed in the Location drop down.


  • Active: they are an active client

  • Suspended: automatically set to this status when they have missed two calendar months in a row to pick up their food and have never been suspended. There is a 7-day buffer included to account for distributions landing on varying calendar days.
    • If an active client who was previously suspended misses two months ever again, their status will change to “Waiting List”. This client's status must be changed to "Active" before a visit can be recorded.
  • Inactive: automatically set to this status when no visit has been recorded in the last six months
  • Waiting List: automatically set to this status when they have not picked up food in two months and have been Suspended before
  • Deceased: set to this status when changed manually by user. The client will no longer appear on the CSFP Client List, but will remain visible on the CSFP Kit Issuance List. Their Link2Feed profile will also be set to deceased. See How Do I Set a Client's Profile to "Deceased"? for more details on what this means. 
  • Denied: this is a module setting. When enabled, it will appear as a CSFP status option meaning the user was denied being in the CSFP program.
  • Closed: set to this status when changed manually by user. The client will no longer appear on either the CSFP Client or CSFP Kit Issuance List
  • None: if a client's is not eligible for CSFP based on the income or age requirement, the system will automatically set their status to "None" 

Automatic Status Change

NOTE: When using the Suspended and Waitlist automatic status changes in Link2Feed, the overnight task will not automatically change any statuses until the end of that month.

For example: a client visits on the 1st of January, and then their status changes to Suspended on the 8th of March. However, the client is not suspended by the program rules until the whole calendar month of March has been completed.

The status will update on the first of the following month (e.g.- the client above would have their status update overnight between March 31st and April 1st.)

Suspended Note

There's a setting available to have a pop up appear to automatically allow the user to enter the note when a client’s CSFP status has been set to “Suspended” manually (setting the status and saving your changes on the CSFP tab) or automatically (when you land on the CSFP tab after an automatic overnight task has set the status to Suspended).

If you would like to manually manage the CSFP status change of all your clients, the automatic status update can be turned off. Please see How Do I Configure My CSFP Program? for instructions.

Enrollment date: this is blank by default and is a required field. This cannot be a date in the future. It's limited to not be earlier than the year 2000 to prevent users from entering a date too far in the past in the past by mistake.

Last Status Change Date: the last date their CSFP status was changed

Proof of Address: ability to record if proof of address was provided

Proof of Income: ability to record if proof of income was provided

Proof of age: ability to record if proof of age was provided

Eligibility notification letter sent/date: this is to confirm if eligibility notification letter has been sent. If "yes" is selected, a calendar widget will appear, having the user enter the date the notification letter was sent

Caretaker: this is similar to the proxy signature (see below). Click on "Add a Caretaker" to add that individual's information. Both name and phone number are required.

Proxy Signatures: up to 3 names and phone numbers of other individuals who have permission to pick up food on this client's behalf. Click on "the "Add a Proxy Signature"  button to add a name and number (both fields are required). A proxy cannot certify or recertify the client.

Eligibility Criteria

This section lets the user know about the client's eligibility to get CSFP food. Any red sections indicate the area where the client doesn't qualify. 

Certification: Once a NEW client's profile has been completed up until the CSFP tab, they must sign before being able to record their first visit. The "Certify"  button appears to originally certify the client. After the initial signature, the button will change to "Recertify" .

Network Administrators have the ability to edit/delete recertification dates on the CSFP tab. Only users with that role will be able to see the icons to edit/delete entries.

Recertification Log: the last date the client was recertified. To recertify the client, click on the "Recertify" button.

Another screen will appear to get the signature of the client.

Signature Type: Depending on the CSFP site and the type of signatures they allow to be collected, it can include "Typed Signature", "Uploaded Image", "Sign on Screen" or "Hard Copy Signature"

Signatory: select who this signature belongs to (it could be one of the proxies)

Client Signature: the signatory's typed name

Date: the date will automatically be today's date

  • Click on the "Save"  button to save changes or "Cancel"  to discard the changes.

Click on the "Save Changes" button to save your changes. Click on the "Save & Previous"   to go to the previous page or the "Save & Next"  button to move on to the next page.
