Note

This type of visit is used to schedule a visit or delivery that will occur in the future, setting the status as "Pending". It will allow you to create an appointment. This will not be saved as an actual visit unless the status of the appointment has been changed to confirm the provisions were picked up.

The Appointment

...

  • Pick Up Date: automatically set to the current date. This can be changed manually if the pick up or delivery date will be at a future date. 

  • Pick Up Time: can be added upon request; the time of the appointment

  • Location: automatically set to the location the user is currently linked to. This can be manually changed if the pick up or delivery location is another one within the network.

  • Status: automatically set to "Pending". This can be changed during the different stages of hamper creation. Other statuses include "Packed", "Shipped" "Collected", "Not Collected", "Rescheduled" and "Cancelled".

  • Quantity: enter how much food supplied was given out. This word can vary from "days", "lbs", "kgs", "money" "points", "hampers" or "items".

Advanced Version

The Appointment

  • Request Date: this is the date the request was made 

  • Request Time: this is the time the request was made

  • Requesting Agency: automatically set to the location the user is currently linked to. This can be manually changed if the pick up or delivery location is another one within the network.

  • Reference Number: optional, if the food bank tracks another type of number for this request

  • Family Type: this is set as a list, customized by the organization

  • Status: automatically set to "Open". This list can also be customized depending on your food bank's wording. "Fulfilled" would mean it's been collected

Warning
  •  If the visit is completed/closed, you can’t edit it.

  • It can only be deleted if you’re on the profile of the user the request was created for (i.e- not one of the other household members) AND it’s either Open or Pending AND it hasn’t been partially picked up (i.e- no provisions have been picked up.)

Provisions are provided by different agencies. E.g. a Christmas hamper may be provided by Agency A, but the children's gift provided by Agency B. Each require a fulfillment date.
